What CiviCRM does
CiviCRM is a constituent relationship management system built for nonprofits, NGOs and advocacy groups. Where a sales CRM revolves around deals, CiviCRM revolves around people and their history with an organization: who gave money, who is a member, who came to which event, who signed a petition and who opened last month’s newsletter. Contacts can be individuals, households or organizations, linked by relationships and sorted into static or “smart” groups that update themselves from saved searches.
The system is modular. The core handles contacts, activities, custom fields and email. Components then add the specialist work: CiviContribute for donation pages, recurring gifts, in-kind contributions and batch entry that can be exported to accounting software; CiviMember for membership types and renewals; CiviEvent for registrations and fees; CiviMail for mass email with result reports and A/B tests; CiviCase for case management; CiviCampaign for surveys, petitions and grouping all of that under a campaign; plus pledges and grants. SearchKit and FormBuilder let administrators build searches, listings and forms without code, and an extensions directory covers payment processors and many other additions.
Website integration
A distinctive point is how CiviCRM meets the public website. It can run as a plugin or module inside WordPress, Drupal, Joomla or Backdrop, so donation forms, event sign-ups, membership renewals and newsletter subscriptions appear on the organization’s own site and write straight into the CRM. Since January 2025 there is also a Standalone edition that runs without a CMS, with remote forms for embedding on other sites.
Self-hosting CiviCRM
CiviCRM is a PHP application backed by MySQL or MariaDB. The installation guide recommends Linux, a current PHP 8 release, MySQL 8 or MariaDB 11.4 or newer, and some specific database settings. For Standalone, a release tarball is the recommended route, with Composer, a developer toolkit and a Docker project as alternatives. The guide warns that CiviCRM is demanding and needs substantial server resources, so very cheap shared hosting is a poor fit. Configuring the mail server for CiviMail is described as a job for a system administrator, because a bad setup can land the organization on spam blocklists.
Hosted version
The project does not tie you to one host: the website lists partner organizations that provide hosting, implementation and paid support. CiviCRM Spark, offered through civicrm.com, is a hosted edition aimed at smaller organizations new to CRM. It includes most of CiviCRM’s features but not all of them, allows few customizations, and includes CiviMail only on its higher tiers. Spark’s page also promises help upgrading to the full version later.
Limitations
CiviCRM is not a sales tool. It has no deal pipeline or forecasting in the core, so it does not replace Salesforce Sales Cloud, HubSpot or Pipedrive for a commercial sales team. Its breadth comes with a learning curve, and administrators need to understand components, profiles and permissions to configure it well. Server sizing and email delivery need real attention when you self-host.
Who it suits
CiviCRM suits charities, membership associations, advocacy groups and other nonprofits that want donors, members, events and newsletters in one system they control, especially if they already run WordPress or Drupal. Businesses tracking sales opportunities should look at the sales-focused tools in the CRM guide.
