What Pipedrive does

Pipedrive is a sales CRM designed around what its vendor calls activity-based selling: sellers plan calls, meetings and tasks for each deal, and deals move across the stages of a visual pipeline. It manages leads, deals, contacts and calendar activities, with customizable pipelines, reports and forecasts, import from spreadsheets or another CRM, and more than 500 marketplace integrations, an API and webhooks. AI features generate reports from a prompt and draft or summarize email.

Plans are Lite, Growth, Premium and Ultimate. Several tools are separate add-ons: LeadBooster for lead capture, Campaigns for email marketing, Projects, Web Visitors and Smart Docs for documents.

Why people look for an alternative

  • Core features above the entry plan. Full email sync with Gmail, Outlook or company mailboxes, open and click tracking, automations and email sequences start with the Growth plan, so the Lite plan covers less than many teams expect.
  • Add-ons on top of seats. Pipedrive is billed per seat, and lead generation, email campaigns, project management, web visitor tracking and document tools are paid add-ons.
  • No free plan. The pricing page offers a 14-day trial without a credit card, but no free tier.
  • Data location by sign-up region. Pipedrive hosts data in AWS regions in Australia, Canada, the EU (Frankfurt and Dublin), the UK and the US. New accounts are placed by the region they sign up from, but the vendor notes that accounts can end up in a different data center and asks customers to contact support to confirm where their data is.
  • Hosted only. There is no self-hosted edition.

What to compare in an alternative

  1. The pipeline board. Multiple pipelines, custom stages, drag and drop, deal values and flags for deals that have stalled.
  2. Activities. Calls, meetings and tasks linked to deals, with reminders and a calendar.
  3. Email. Two-way sync with Gmail or Microsoft 365, sending from the deal page and templates.
  4. Automation. Workflow rules triggered by deal changes, and whether they are in the open source edition.
  5. Import. CSV import with field mapping for deals, people and organizations, which is how you will move data out of Pipedrive.
  6. Hosting. A single container or a PHP server is a different commitment from a framework with several services; check the hosted options too.

Which one to choose

For a Pipedrive-style board with automation, Frappe CRM has kanban stages, email from lead and deal pages, call logging and visual workflow automations, and Twenty adds kanban views, Google and Microsoft 365 email and calendar sync and a workflow builder to a customizable data model. Krayin CRM is an MIT-licensed Laravel CRM with pipelines, products, quotes, an email inbox and workflows that runs on ordinary PHP servers.

Smaller teams that want something simple have three more options. Relaticle offers a drag-and-drop opportunities board with Gmail and Outlook sync and an AI assistant, BottleCRM adds support tickets and invoices to its deal pipeline, and Atomic CRM is a compact kanban CRM meant to be forked and changed by a developer. If you need marketing, support and quoting as well, EspoCRM, SuiteCRM and Odoo cover a wider scope at the cost of more setup. Compare them all in the CRM guide.
