What Salesforce does

Sales Cloud manages the sales process from first contact to signed deal. Leads are captured from web forms, routed to the right seller and converted into accounts, contacts and opportunities that move through a sales process you define. Around that core sit forecasting and pipeline inspection, campaigns and mass email, reports and dashboards, and, on the higher editions, products, price books, quotes, contracts and orders. Flow Builder and approval processes automate the steps in between.

What sets Salesforce apart is the platform underneath. Administrators can add custom objects, record types, page layouts and apps, test changes in sandboxes and install third-party apps from AppExchange. The current editions, from Free Suite and Starter Suite up to Core, Advanced and Max, also bundle or sell Agentforce AI agents, Slack and Tableau.

Why people look for an alternative

  • Per-user pricing across many tiers. Salesforce charges per user per month, features are spread over six editions, and the vendor’s FAQ says most of its products are sold on annual contracts. Pro Suite and the Sales Cloud editions are billed annually.
  • Add-ons and metered AI. Lead scoring, several Agentforce features and other tools are marked as available for purchase, AI can only be added to Core and above, and AI use is counted in Flex Credits per org per year. Premier support is a paid add-on.
  • Storage allowances. Data and file storage are allotted per org or per user depending on the edition, so large datasets affect cost.
  • Hosted only. There is no self-hosted edition: customer data always sits on Salesforce’s infrastructure.
  • Platform lock-in. The more you build with Flow, Lightning components and AppExchange apps, the harder it is to leave, because that work does not carry over to another CRM.

What to compare in an alternative

  1. The sales core. Leads, accounts, contacts and opportunities, pipeline stages and forecasting.
  2. Quoting. If you send quotes from the CRM, check for products, price books, quotes and invoices, and whether they are free or paid extensions.
  3. Automation. Workflow rules, approvals and business processes, and whether they are part of the open source edition.
  4. Customization. Custom objects, fields, layouts and roles that administrators can change without code.
  5. Email and calendar. Two-way sync with Gmail or Microsoft 365, and a documented API.
  6. Migration. Plan on exporting your Salesforce records to CSV and loading them with the new system’s import tool; check for field mapping and duplicate handling, and expect to rebuild automations and reports by hand.
  7. Hosting and licensing. The effort of running it yourself, the hosted options, and which features sit in paid or proprietary editions.

Which one to choose

The closest match in breadth is SuiteCRM, which covers sales, quotes, campaigns, cases, reports and workflows under AGPL-3.0. Odoo suits companies that also want quotations, invoicing and inventory in the same system, but many of its features are in the proprietary Enterprise edition. EspoCRM is easy to host on PHP and MySQL, with reports, workflows and quotes sold as paid extensions.

If your team valued Salesforce for its customizable data model, Twenty is the modern option, with custom objects, workflows and an API, though SSO and row-level permissions need its paid plan. Frappe CRM offers a clean sales pipeline with automations and SLAs on the Frappe Framework, and Krayin CRM is an MIT-licensed Laravel CRM with quotes, workflows and webhooks. All six have a hosted option from their developers if you do not want to run servers. See the CRM guide for the full list.
